Legal Secretary - Float - Contract
SCOPE
The post holder must have previous legal secretarial and/or legal document production experience and worked across a wide range of practice areas, as they will be required to provide support to fee earners firm wide.
Main duties include; creating and amending documents, typing letters and statements and dealing with legal forms. The post holder will also be required to undertake broader secretarial duties.
KEY RESPONSIBILITIES
Responsibilities include, but are not limited to the following:
· production of documents either from dictation or general instruction, including but not limited to letters, reports, attendance notes, memos, and emails and must be undertaken effectively, accurately and to deadlines
· creation of comparison documents using track changes and Deltaview
· reformatting of documents using DocX or similar application and general “trouble shooting” and health check of documents.
· provision of document advice to secretaries and fee earners at all levels
· creation of tables, flowcharts and presentations using Word, Excel and Powerpoint and Visio on request
· scanning and e-filing
· organising internal and external meetings by liaising with Reception to ensure the correct room is allocated, and refreshments/equipment have been ordered as and when required.
· efficient handover of work at the end of the shift to the evening secretarial service
HOURS
Standard hours - 8.30 am - 4.30 pm (flexibility required)
Qualifications / Skills / Benefits
The following IT skills are required:
· advanced Word & Outlook experience including mail-merges, tables and complex formatting
· advanced Excel and PowerPoint skills
· excellent levels of accuracy and minimum typing speed of 70wpm
· experience with a document management system - preferably Worksite
· experience of digital dictation
· knowledge of carpe diem or other time recording system
· previous experience of working with Cicero or similar database for client information.
· Microsoft Office Specialist Certification (MOS) or similar would be an advantage
· Knowledge of other IT systems packages including Interaction, Searchfow, Deltaview and Adobe Writer. Training will be provided if required.
