Owen Reed is looking to recruit a proactive and capable Client Administrator to join a top law firm in London. Operating in a fast-paced and pressurised environment, the role demands a process-driven professional who can manage the firm's compliance and billing administration efficiently. As a part of our central Client Administrators team, you will play a critical role in processing compliance and billing tasks, taking ownership of various responsibilities and ensuring seamless routine and daily operations.
Hours: 8.30 am – 6.30 pm (7 hours/day, on a shift basis)
Main Duties and Responsibilities:
- Client Inception Module Management: Coordinate the Client Inception Module (CIM) in Prescient, liaising with Executive Assistants, Legal Secretaries, and fee earners. Ensure compliance with risk and compliance requirements by completing CIM, gathering initial documents, and collaborating with Compliance and fee-earning teams.
- Conflict Checks and Documentation: Run conflict checks, distribute results for review, and maintain correspondence records. Produce first draft engagement letters, complete them, and save signed letters in the appropriate location.
- Billing and Documentation: Process bills, generate narratives, attend internal meetings, prepare WIP reports, and manage relevant paperwork. Liaise with billing and accounts teams, ensuring accurate documentation and compliance.
- File Management: Organise and maintain both physical and digital files. Assist in creating new clients and file openings, including compliance checklists and relevant documentation.
- Communication and Collaboration: Interact with various departments regarding billing, payments, and file-related tasks. Demonstrate strong client service skills, excellent communication, and proactive problem-solving abilities.
