Owen Reed is looking to recruit a motivated Client Services Executive to join a top law firm in London.
About the Role:
As a Client Services Executive, you will play a pivotal role as the first point of contact for visitors and clients, both in person and over the phone. Reporting to the Client Services Manager, your primary responsibility is to create a positive and lasting impression by providing exceptional customer care and professionalism. You will coordinate client requests, manage meeting room bookings, and provide AV support, ensuring high-quality services and operational excellence on the Client Floor at our office. Additionally, you will assist with room setups, moves, and changes, contributing to a seamless and efficient environment.
Responsibilities:
- Warm Welcome: Greet visitors and clients with a five-star welcome, offering refreshments and ensuring a comfortable reception experience.
- Security and Logistics: Sign in visitors following security protocols, manage room bookings, and assist with AV setup, troubleshooting technical issues promptly.
- Room Arrangements: Set up conference room equipment, including laptops, screens, projectors, and audio-visual devices. Arrange room configurations (Cabaret/Theatre/Boardroom/Classroom styles) and catering orders as needed.
- Customer Support: Answer phones courteously, addressing inquiries and providing assistance, maintaining excellent customer service standards.
- Event Coordination: Book and manage event space, liaising with internal and external hosts, ensuring smooth coordination, and upkeeping event rooms.
- Administrative Duties: Handle administrative tasks, manage deliveries, order supplies, and maintain reception areas in a clean and organized manner.
- Flexibility and Innovation: Demonstrate flexibility in working hours, proactively seek to exceed industry standards, and propose creative solutions to challenges.
Requirements:
- Experience: Proven customer service experience in a corporate setting, client-facing roles involving IT and AV support are desirable.
- Skills: IT literacy, including Microsoft Office proficiency. Familiarity with Manhattan Data craft is advantageous. Strong verbal communication, problem-solving, and organizational skills are essential.
- Attitude: Service-focused with a positive 'can do' attitude, adaptable, and capable of maintaining high standards under pressure.
- Collaboration: Ability to build and maintain strong relationships with stakeholders, demonstrating effective interpersonal skills.
