Owen Reed are recruiting for an Executive Assistant to work within the Knowledge & Innovation Department at a top law firm in London.

The K&I Executive Assistant will provide professional and client-focused support to the Knowledge and Innovation (K&I) department, including the Business Services Director (BSD) and Heads of Knowledge and Innovation, Information Services and Legal Project Management (LPM).

The K&I department is responsible for introducing and promoting the appropriate use of legal technology; creating and delivering a firm-wide innovation strategy; ensuring our multi-specialist fee earners are well informed, equipped and supported in order to deliver high quality, timely legal advice; providing easy access to the right legal and business research resources; and providing the systems and processes to enable Professional Support Lawyers (PSLs) to support fee earners and facilitate knowledge sharing.

The Executive Assistant role is a new one for the K&I department. It will suit someone ambitious and proactive who wants the opportunity to shape and grow their role and who is willing to turn their hand to new skills and technologies. The role is critical to many of the department’s broad range of new and exciting projects. The role will report to a Senior K&I Manager.

Whilst not an exhaustive list, the key responsibilities of this role are set out below. Where appropriate these responsibilities will be shared with the K&I department’s Administrator.

• Support the Innovation team with aspects of the firm’s innovation programme and its delivery, including legal tech projects and its Innovation Network.

• Support the work of the Legal Project Management team.

• Support the Knowledge Management team with various tasks, processes and projects including maintaining and updating records in the firm’s Knowledge Management system and liaising with the practice groups and PSLs as required.

• Communicate efficiently and professionally with a broad range of stakeholders at all levels, including the firm’s partners and clients.

• Act as a change champion, supporting issues and challenges following the introduction of new processes and systems.

• Assist with the creation and editing of confidential board/committee papers.

• Maintain and update process and procedure manuals and suggest improvements for greater efficiency where appropriate.

• Proactively manage diaries and emails, developing an understanding the team’s priorities and individual working practices and preferences

• Organise meetings, book meeting rooms, order equipment and catering, circulate agendas and minutes and occasionally take notes.

• Maintain and monitor the team’s budget, process all payments and keep records of what has been paid.

• Provide administrative support for new joiners and leavers of the department where relevant, including arranging introductory meetings and induction schedules, the collection of know-how and handover notes where appropriate.

• Manage and monitor team holidays, sickness and other absences where appropriate.

• Update the team intranet pages and collaboration site to ensure key information, contacts and organisational/structure charts are created and maintained.

• Provide team support during times of increased workload.

• Provide support including reports, tables (Word, Excel and PowerPoint), presentations and other documents in the firm’s style.

• Maintain a comprehensive knowledge of, and ensure compliance with, quality standards, and the firm’s policies in general.

• Undertake additional ad hoc duties to support the group, as necessary.
