Owen Reed is looking to recruit a Float PA to join a top law firm in London.

As a member of the float team, you will support five practice groups across our London office, providing a diverse range of responsibilities. This role requires a proven PA experience, ideally within a law firm supporting at the Partner level, combined with strong organizational skills. You should be adept at handling frequent changes and challenges typical of a float role and understand the importance of strong communication with those you support.

Key Responsibilities

  • Diary Management: Anticipate and manage all areas of diaries.
  • Email Management: Check, prioritise, and summarise emails daily, creating action points and reporting accordingly.
  • Time Management: Ensure fee earners' time and narratives are inputted daily.
  • Drafting Correspondence: Compose and prepare various types of correspondence.
  • Travel Arrangements: Source and book hotels and transport using our online booking tool.
  • Administrative Systems: Establish and maintain efficient administrative systems.
  • Workload Management: Proactively manage your workload and work on your own initiative.
  • Proofreading: Conduct thorough proofreading and quality checks on all work produced.
  • Relationship Building: Develop good working relationships with colleagues and establish rapport with clients.
  • System Proficiency: Become adept at using our office systems and equipment.
  • Legal Terminology: Familiarise yourself with the legal terminology relevant to the practice area.
  • Client Needs: Anticipate and respond to client needs effectively.
  • Firm Culture: Understand and align with the firm's culture and goals.
  • Document Management: Organize document management, including opening files, archiving, and filing documents electronically and in paper format as required.
  • Billing Process: Demonstrate an understanding of the end-to-end billing process and Elite (Financial System), liaise with the billing team, and produce relevant documentation.
  • Cross-Practice Assistance: Provide support across practice groups/teams whenever there is spare capacity or as required.
  • Typing: Undertake typing tasks as needed, either via dictation or marked-up handwritten changes.
  • Delegation: Delegate administrative tasks to team members where necessary.

About You

Experience Required:

  • Strong PA/secretarial background at the Partner level
  • Advanced written and verbal communication skills
  • Typing speed of 70 wpm
  • Proficient understanding of Microsoft Office

Skills & Knowledge:

  • Proficiency in Outlook, Word, PowerPoint, Excel, and document management systems
  • Positive attitude with a practical, common-sense approach; resilient
  • Proficient in audio and copy typing
  • Excellent organizational and administrative skills
  • Ability to draft documents autonomously
  • Fee/billing management experience
  • Confident with excellent communication skills and the ability to relate to people at all levels
  • Ability to prioritise tasks and remain calm under pressure
  • Exceptional attention to detail
