HR Team Coordinator

Owen Reed are recruiting for a HR Team Coordinator to join a law firm in the West End.  

The HR Team Coordinator will report to the Head of HR and HR Manager.  The HR Team Coordinator will form part of a team of 6 HR professionals. This role requires exceptional secretarial and organisational skills together with the ability to seamlessly manage all elements of workflow, demonstrating initiative, enthusiasm and professionalism. 

MAIN DUTIES AND RESPONSIBILITIES OF THE HR TEAM COORDINATOR
• Drafting Watercooler announcements for weekly firm newsletter
• Layout and design of bi-monthly wellbeing newsletter
• Organise 1:1 Pension Meetings with the pension and benefits provider
• Organise mortgage brokers to be on site as and when needed
• Organise monthly communication on site-confidential counselling sessions
• Produce in PowerPoint HR presentations
• Updating documentation for employee movements 
• Responding to mortgage, tenancy and staff references for signatures by HR Managers/Head of HR
• Deal with HR post, updating holiday chart and maintaining stationery and printer consumables
• Processing of eye care subsidy
• Organise annual flu jabs for the firm
• Organise and issue maternity and wedding vouchers
• Updating staff directory
• General HR Administration e.g. ordering of flowers, gift vouchers, taxis
• Organise Firm’s reading scheme and choir
• Processing of all HR invoices
• Back-up for Temp Inductions if no one else is available
• Preparation of Induction Packs for Joiners
• Updating annually re additional annual leave requests and holiday carry over
• GDPR archiving on an annual basis
• Monthly payroll – organising payslips to be distributed and if applicable sent to personnel by post
• Scan P45s and place them in the HR Team/Leaver folder.
• To prepare all offer letters and schedules to contract of employment for all staff joining the firm
• To administer the Vero screening process and DBS checks for professional staff
• To ensure all employment documentation is returned
• To prepare all leaver confirmation letters and administer the leaver process.
• Assisting with training contract offer paperwork and vacation scheme offer letters
• Preparing and distributing partner packs for assessment days and second round interviews
• Organising vacation scheme and training contract application forms for sifting
• Logging open day application forms
• Processing travel expense forms for open days, assessment days, interviews and the vacation scheme
• Name badges for open days and assessment days
• General assistance on open days and assessment days as and when required (e.g. photos on registration and population of feedback form with photos)
