Owen Reed are recruiting for a Legal Secretary to join a top London Law firm. The legal secretary will have a split role between for our Africa group and a Consultant who works with lots of high profile Middle East/SE Asia clients such as governments, PEPs, Sovereign wealth funds.
The Legal Secretary will deliver outstanding secretarial support, with a focus on client service. This is a fantastic opportunity for someone who is passionate about delivering a professional secretarial service of the highest quality.
Responsibilities of the Legal Secretary
Making and diarising all appointments for client and internal meetings, seminars, conferences;
Liaising with clients/clients’ PA to arrange meetings (both local and international);
Setting up and maintaining an appropriate filing system;
Assisting with opening new matter/client files;
Updating Consultant’s profiles on the firm’s website and generally keeping marketing activities and reports up to date;
Typing of letters, emails and updating memos, transaction documents, articles etc.;
Updating and maintaining Contacts lists;
Liaising with Library and general information;
Prepare first draft PowerPoint/presentations for external talks;
Carry out first-instance desktop research when there is no trainee/associate available to assist the Consultant;
Liaise with Partners;
Assist with organising BD marketing events where necessary;
Liaise with IT and Accounts;
Making travel arrangements;
Submitting and arranging reimbursement of expenses;
Registration at seminars/conferences
Setting up monthly Meetings and Committee meetings;
Updating Information folders.
