Owen Reed are recruiting for a Secretarial Co-ordinator to join a top London law firm. The Secretarial Co-ordinator will work within the Real Estate department.
The Secretarial Co-ordinator will work with the Support Services Manager (SSM) to provide high level administrative support within teams and maintaining efficiencies across the department.
Responsibilities of the Secretarial Co-ordinator
Main point of contact between allocated EA/PA/TA teams and SSM providing regular updates on all staff movements and developments
Managing the day to day operations of the teams
Coordinating, monitoring and managing holiday and absence of all allocated EA/PA/TA and fee earners within the teams
Assisting with the recruitment, induction and training of new EA/PA/TA
Working closely with Head of Operations on the promotion and pay/bonus review for EA/PA/TA population
Assisting the business services functions (IT, Facilities, BD, Risk & Compliance and Finance) when required to, provide feedback on various processes, procedures, training and other development initiatives
Representative to the secretarial population and actively leading by example
Conducting quarterly development meetings with each EA/PA/TA, regularly liaising with fee earners and partners for feedback on individual performance and output
Covering other Team Co-ordinator allocations during periods of absence
Familiarise and keep up to date with our HR/firm policies
Conducting return to work interviews, escalating more serious cases to SSM.
Assist the SSM with annual Talent Review discussions, making a case for rising stars and succession planning
Ensuring mid/end of probation reviews are carried out in a timely fashion
