Owen Reed are recruiting for a Secretarial Manager to join a top London law firm.
This is a part time role working 3 or 4 days per week, working with the Secretarial Team Co-ordinators and Heads of Department to deliver high standards of performance and improve overall efficiency and usage of the secretarial function.
Responsibilities of the Secretarial Manager
Coach, manage and lead Team Co-ordinators to ensure they are supported and able to manage their allocations effectively.
Develop a solid understanding of the PA and Team Assistant service provided in each practice area.
Determine and manage PA /TA and fee earner ratios in conjunction with Team Co-ordinators.
Ensure that appropriate procedures are in place to manage holidays and sickness absence in a proactive and cost-efficient manner.
Work with the Team Co-ordinators to implement a valuable and cost-effective in-house secretarial testing system to help refine the firm’s selection process.
Assist the Talent Advisor with PA / TA recruitment.
Assist with annual salary reviews making recommendations where appropriate.
Active performance management of PAs and TAs alongside the Team Co-ordinators.
Assume appropriate involvement in employee relations issues concerning PAs and TAs.
Using management information to identify opportunities for change/development.
Conduct regular meetings with Heads of Department / Heads of Team to obtain feedback and identify varying departmental needs.
Ensure efficient working practices are in place through the development of the secretarial service team according to each practice area.
Manage and work closely with the Document Production Workflow Co-ordinator and Document Production team to ensure a consistently high service is provided to our clients
Manage the BigHand system and ensure it is being used to its full potential throughout the firm.
In collaboration with the Talent Manager, develop a competency framework and training programme for secretaries in each practice area and manage its implementation.
Participate in firm-wide projects as may be required from time to time.
