Owen Reed is looking for a Document Production Specialist for a top law firm in London.
This is an excellent opportunity for an experienced Legal Document Specialist to join a high-performing Document Services team, supporting fee-earners with high-quality document production and managing workflow during evening hours.
The role combines hands-on document work with responsibility for evening workflow coordination, ensuring continuity, accuracy and service excellence after the day shift concludes.
The Role
As a Document Production Specialist, you will:
- Produce, edit and format high-quality legal documents using firm templates
- Work closely with fee-earning teams on deals, pitches and client documentation
- Provide expert support on MS Word, PowerPoint, Excel, templates and styles
- Create and format PowerPoint decks, legal updates and brochures
- Prepare materials for internal and external events (signage, name badges, place cards, holding slides)
- Maintain strict confidentiality and quality standards at all times
From 4.30pm to 10.00pm, you will also act as the primary workflow contact, ensuring smooth evening operations.
Evening Workflow Responsibilities
- Monitor incoming requests and create BigHand tickets
- Allocate work to available team members in line with priorities
- Ensure deadlines and quality standards are consistently met
- Escalate urgent or exceptional matters when required
- Communicate clear handover updates to the Senior Coordinator and morning team
- Support a seamless transition between day and evening operations
Hours
- 2.00pm – 10.00pm, Monday to Friday
- Flexibility required to meet business needs
Key Skills & Experience
Essential:
- Advanced MS Word, PowerPoint and Excel skills
- Exceptional attention to detail and accuracy
- Strong organisational and prioritisation skills
- Excellent communication and customer service approach
- Ability to work under pressure and meet tight deadlines
- Typing speed of 60 wpm
Desirable:
- Experience in a legal document production environment
- Experience working in a partnership or professional services firm
- Knowledge of BigHand Hub or similar workflow systems
- Secretarial qualification (advantageous, not essential)
