Owen Reed is looking for an Executive Assistant for a top law firm in London to support its Real Estate Disputes team. This is an outstanding opportunity for a highly organised and proactive Executive Assistant to provide high-level support to a small group of partners within a fast-paced and collaborative legal environment. You’ll play a pivotal role in helping partners manage their practice, client relationships and business priorities while delivering exceptional service.

The Role

As an Executive Assistant, you will provide comprehensive executive, administrative and business support to partners, acting as a trusted adviser and ensuring their practices operate efficiently. This is a varied role requiring excellent organisational skills, commercial awareness and the ability to anticipate needs before they arise.

Key Responsibilities

Executive & Partner Support

  • Manage complex and ever-changing partner diaries, meetings and appointments.
  • Proactively resolve diary conflicts and coordinate meeting logistics.
  • Organise regular planning meetings with partners to review priorities and upcoming commitments.
  • Manage partner inboxes, responding to emails where appropriate and escalating urgent matters.
  • Ensure partners are fully prepared for meetings, client appointments and business commitments.
  • Attend meetings, prepare agendas, take minutes and monitor follow-up actions.

Client & Business Support

  • Act as a professional ambassador for partners, delivering exceptional service to clients and colleagues.
  • Build strong working relationships with partners, clients and internal teams.
  • Develop a thorough understanding of the Real Estate Disputes practice, client base and business priorities.
  • Coordinate with Marketing & Business Development teams to organise client events, seminars and business development activities.
  • Support the implementation of best practice and continuous process improvements across the team.

Financial & Matter Management

  • Coordinate partner billing processes and financial management activities.
  • Organise Work in Progress (WIP) and billing meetings to ensure deadlines are achieved.
  • Support compliance and financial administration, including matter management processes.
  • Monitor outstanding invoices and assist with the recovery of unpaid bills.
  • Work closely with Client Administrators and central support teams to ensure efficient service delivery.

Travel & Administration

  • Arrange domestic and international travel, accommodation and itineraries.
  • Manage visa applications, currency requirements and travel logistics where required.
  • Ensure all travel information is accurately reflected within partner diaries.
  • Take ownership of administrative tasks, ensuring work is delivered accurately and within agreed deadlines.
