Owen Reed is looking for a Legal PA on a 12-month fixed-term contract for a top law firm in London. You will join the firm’s highly regarded Real Estate team, providing dedicated support to partners and fee earners in a fast-paced and collaborative environment. You will provide proactive, high-level support to partners and fee earners, playing a key role in ensuring the smooth running of a busy practice while delivering exceptional client service.
The Role
As a Legal PA, you will provide comprehensive administrative and organisational support, helping fee earners manage client matters efficiently while maintaining the highest standards of service.
Key Responsibilities
- Provide proactive PA support to partners and fee earners within the Real Estate team.
- Manage complex diaries, meetings, travel arrangements, and resolve scheduling conflicts.
- Support billing, reporting, matter balances, and working capital management alongside Finance teams.
- Assist with client matter inception, engagement letters, matter specifications, and file management.
- Complete conflict checks and Client Due Diligence processes in line with firm procedures.
- Liaise with the Business Development team to support events, conferences, CRM administration, fee earner CVs, bids, tenders, and credentials.
- Support Client Relationship Partners with client meetings, reporting, and relationship management activities.
- Coordinate meeting logistics, prepare meeting packs, itineraries, and hospitality arrangements.
- Delegate document production tasks, including legal documents, pitches, tenders, and transcripts.
- Manage file closures, billing completion, WIP clearance, and file archiving.
- Ensure compliance with firm policies, risk procedures, and mandatory training requirements.
About You
To succeed in this role, you will have:
- At least 3 years’ experience as a Legal PA, Legal Secretary, or Executive Assistant within a law firm or professional services environment.
- Previous experience supporting Real Estate or Property teams is highly desirable.
- Excellent organisational and diary management skills.
- Strong knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Exceptional communication skills with excellent grammar and attention to detail.
- Experience supporting billing, matter management, and client administration.
- The ability to prioritise multiple tasks in a fast-paced environment.
- A proactive, flexible, and client-focused approach.
- The ability to work both independently and collaboratively within a busy team.
