A fantastic opportunity has arisen for a Reception Co-ordinator to join a prestigious law firm in London. This Reception Co-ordinator role sits within a busy and highly professional client services team responsible for delivering an exceptional experience to clients, visitors and colleagues.
The successful Reception Co-ordinator will support the Reception & Client Services Manager in ensuring the smooth running of reception operations and client-facing areas. This Reception Co-ordinator position offers the opportunity to take ownership of key responsibilities while helping to maintain the highest standards of client service.
Key Responsibilities
- Support the Reception & Client Services Manager in the day-to-day running of reception and client services.
- Provide guidance and support to the reception team when the manager is unavailable.
- Welcome clients and visitors in a warm, professional and friendly manner.
- Manage meeting room bookings and ensure rooms are prepared to the highest standard.
- Conduct regular checks of reception, meeting rooms and client-facing areas to ensure a first-class environment.
- Coordinate team rotas, holiday schedules and cover arrangements to maintain service levels.
- Assist with the planning and coordination of meetings, training sessions and internal events.
- Liaise with internal departments to ensure meeting and event requirements are delivered efficiently.
- Manage stationery and meeting room supply orders and conduct regular stock checks.
- Review invoices and process expenses accurately and promptly.
- Maintain accurate supplier and contractor records.
- Ensure reception systems, procedures and training materials remain up to date.
- Oversee switchboard operations and ensure all calls are handled professionally and efficiently.
- Work closely with HR and IT teams to maintain accurate staff information and resolve system issues.
- Take ownership of operational issues and ensure they are resolved promptly.
Skills and Experience
The ideal Reception Co-ordinator will have:
- Previous experience within a reception, front-of-house, hospitality or client services environment.
- Experience supervising, coordinating or supporting a team.
- Excellent communication and interpersonal skills.
- Strong organisational skills with the ability to manage multiple priorities.
- Outstanding attention to detail and a commitment to delivering high standards.
- A proactive and solutions-focused approach.
- Strong Microsoft Office skills, including Word, Outlook and Excel.
