Owen Reed are recruiting for a Team Administrator to join a top law firm in London. This is a Hybrid working role - 3 days from home/2 in the office.
9.00 a.m. – 6.00 p.m.
This role will be responsible for providing administrative support to all of the teams within Market Development with primary focus on the team heads. Core tasks will include meeting organization, raising purchase requisitions, travel booking and expenses management. Tasks will be generally allocated from a shared outlook mailbox in addition to your own personal inbox by your line manager.
Responsibilities (give a general description of responsibilities & duties):
Communicate, book, update, cancel internal and external meetings for Team Heads as requested and on an ad hoc basis for other team members – Team Heads will manage their own meeting acceptance/declines
Arrange meeting rooms and catering
Update Market Development Calendar with holidays, travel, conferences and sick leave
Arrange travel and accommodation
Update the Travel and Entertainment spreadsheet with all travel booking figures and attend monthly meeting
Make sure trips are booked within policy guidelines and the correct approvals have been sought
Raise Purchase Requests for relevant travel
Prepare expenses claims both cash and corporate card – team members must provide expenses at least 48 hours before submission deadline
Assist Market Development PA with Budget tracking when required
Raise Cherwell IT Support tickets on behalf of team members
Receipting of Purchase Orders
Raise Purchase Requests as required by team members ensuring allocation to correct budget lines
Update Accruals spreadsheet with all raised PO’s, monitor and confirm once PO paid and closed.
Support the Sales team with Metal Committee information including updates to the attendees database
Assistance scheduling presentations for biweekly department meetings
Provide management information, as and when required
Ad hoc projects, as required.
Maintain office filing and storage systems
Assist with general tasks Market Development PA is out of office
Support planning of Market Development events/activities and LME hosted events
Support BAU processes as agreed
Graduate or school-leaver (min GCSE English and Maths)
Knowledge and Experience Required – (specify how much experience and level required):
Good Level of experience in a team secretarial role
Skills Required – (i.e. system skills, communications skills)
Strong attention to detail
Good Organizational skills
Knowledge of Word, Excel and PowerPoint (Intermediate Level)
Ability to work under pressure
Ability to prioritize workload
Good team player
