Owen Reed are recruiting for an Events Administrator to join a top law firm in London. This role sits within the Marketing and Business Development team, whose focus in on helping our expert Partners and other lawyers to win business and deliver an excellent client service. The Events Administrator is an important role within our firm's Events team. The main purpose of the role is to provide administrative and practical support to help run online and in-person events, primarily focusing webinars, but also occasionally supporting seminars and important client hospitality. Specifically, the Events Administrator will be responsible for tasks such as: scheduling webinars; ensuring webinar rehearsals are successful; uploading content to webinars; supporting with behind-the-scenes support on live webinars (e.g. running polls, playing videos or progressing slides); processing event attendance information; and occasionally providing in-person assistance at live client events, such as supporting with event registration and badging. You may be required to provide some assistance with creating and sending event invitations via the firm's email marketing system.
Client events are critical to the firm, and so you'll monitor event quality, and keep internal colleagues informed of project workloads, delivery dates and any quality issues that arise.
The role will be of interest to someone that is keen to explore possibilities in events and event marketing. We will provide full training on all technical aspects of the role. It would be ideal for a highly organised administrator with an ability to pick up new skills, a high attention to detail and an ability to cope with a steady stream of requests.
The role is based in one of our UK offices, with occasional travel to the other UK offices as required.
The following list is not exhaustive but gives a flavour of the duties:
Responsible for the management of live webinars, including setting up webinars, running rehearsals, approval of event registrants, running polls and surveys during events, helping presenters with running slide shows during events, feeding questions from the audience through to event speakers, and circulation of registration and attendee reports to internal team. You will not be required to be on screen during live events, but you will need to provide behind-the-scenes support to event organisers, hosts and presenters.
Post-event data management for online and in person events, in accordance with GDPR. That will include, for example, bulk uploading attendee data from our webinar or seminar systems into the firm's contact database.
Liaise with the firm's web team to ensure event recordings are published on the firm's website.
Collation of post-event feedback; including evaluation and analysis of what worked well and what didn't, both for webinars and other events.
Responsible for the day-to-day administration of the events team inbox and maintaining and updating the firm's internal and external events calendar
Liaising with the firm's PAs, Business Development professionals and occasionally external suppliers to run physical events, possibly including sourcing venues, handing out badges, ensuring event content is provided to Audio Visual specialists and other tasks as required.
Highlighting to the firm's Management team if we have scheduling conflicts with our events, or if we are running too many events in a short space of time.
Keeping internal clients informed of progress in terms of event planning and delivery
Promote best practice for events both online and in person
Escalate complex event requests or technical problems to the firm's Event's Coordinator or Events Manager
Support marketing campaigns as required.
Knowledge, skills and experience required (bespoke to role) -
You will receive technical skills training on all aspects of Addleshaw Goddard's events technologies and processes. However, we would expect successful candidates to have the following skills, experience, competencies and approach:
Must be highly organised, approachable, have a very high attention to detail and be highly organised.
Must have the ability to communicate with internal clients and colleagues in a calm, professional and friendly manner.
Highly computer literate with a proven ability to pick up and use new systems or software, ideally including experience of Microsoft Office software.
Previous experience of having used webinar technology or email marketing platforms would be advantageous, as would a basic working knowledge of social media and websites.
Any past experience in supporting or running events would put you in a very strong position in this role, although at the very least you will have a strong interest in the world of events.
